FRA Report Generator — User Guide

STEP-BY-STEP INSTRUCTIONS

This tool lets you build a complete, professional Fire Risk Assessment report — all inside your browser, with no internet connection needed. Work through the numbered sections in order, fill in what applies, then click Preview to see the finished report and Print / Save PDF to export it.

FIRST Saving your work
1The tool auto-saves every few seconds while you work — you can see the confirmation message in the top bar. This protects you if the browser closes unexpectedly.
2When you want to keep a permanent named copy, click Save Report. You will be asked to give the report a name (e.g. the property name). Saved reports appear in the Saved Reports ▾ list and can be reopened at any time.
3To start a brand new blank report, click New Report. Your current report stays in the saved list if you saved it.
Important: Reports are stored in this browser only. If you switch to a different browser or computer, use Export Data to save a backup file, then Import Data on the new device to restore everything.

SECTION 1 Cover & Report Details
1Type the Report Title — for example "Fire Risk Assessment" or "Fire Risk Assessment for Example Company".
2Fill in the Property / Site Name and the full Property Address on separate lines. These appear on the front cover of the report.
3The "For" reference line is optional — use it for a unit number, floor, or any short identifier that helps identify the assessment.
4Select the Assessment Date using the date picker.
5To add a Cover Photo, click "Upload a cover photo" and choose an image from your device. Once uploaded, use the three sliders that appear to adjust the photo: Zoom / Crop (below 1× shows the whole image; above 1× zooms in), Left ↔ Right to pan horizontally, and Top ↕ Bottom to pan vertically. The small preview above the sliders shows exactly how the photo will look in the PDF.
The cover photo adjustment preview is exactly what will print — if it looks right in the preview box, it will look the same in the PDF.

SECTION 2 Executive Summary & Introduction
1These sections are pre-filled with standard professional wording. You can leave them as they are or edit them to suit the specific premises.

SECTION 3 General Information
1Enter the Responsible Person — the building owner, managing agent or whoever has legal fire safety responsibility — and their telephone number.
2Fill in the Premises details: type of building, year built, construction details, size, number of floors and staircases.
3The Occupancy table covers numbers of staff, visitors, contractors and overnight occupants. Fill in the Value column and add any useful notes in the Comments column. You can add or remove rows using the + and × buttons.
4The Special Risk table covers occupants who may need assistance to evacuate. Complete it where relevant.
5The Premises-Specific Notes section title can be renamed — for example, "Residential Care Home Residents" or "Commercial Tenants" — to suit the type of premises.

SECTION 4 Existing Fire Safety Systems
1For each system listed, use the Y/N dropdown to select Yes, No, N/A or Not known.
2Add any relevant Comments — for example the condition of the system or when it was last serviced.
3You can add extra systems using the + Add system button, or remove rows you don't need with the × button.

SECTION 5 Questionnaire — Fire Hazards & Control Measures
1Work through each category (Electrical, Smoking, Housekeeping, etc.) one at a time. For each question, click the Y/N dropdown and choose Yes, No, N/A or Not known.
2Add a Comment where helpful — for example to explain a "No" answer or note something specific about the premises.
3Click "Add action plan" below any question to expand additional fields: Priority (Low / Medium / High), the action required, the target date, and who should complete it.
4Category titles can be renamed by clicking on the title text at the top of each category. You can also add new questions or remove ones that don't apply.
In the Preview: any column with no data at all (for example, if no questions in a category have comments) will be automatically hidden, keeping the report clean and professional.

SECTION 6 Significant Findings & Fire Action Plan
1Click + Add finding to create a new finding card. Add one card per significant finding identified during the site survey.
2Type the Location in the black header bar — be specific, for example "Second floor, bedroom corridor adjacent to staircase".
3Fill in Comments (what you observed), Fire Hazard / Risk (the consequence if not addressed), Action to be Taken, Target Date, and To Be Actioned By.
4Select the Priority — Low (green), Medium (amber), or High (red). This colour will appear on the printed report.
5Click + Add photo(s) to attach one or more photographs to the finding. You can add multiple photos and remove them with the × button on each thumbnail.
In the preview, any field left empty is automatically hidden from the printed report. If a finding has no photos, the photo column is removed entirely so the text takes the full width.

SECTION 7 Risk Rating & Sign-Off
1Click the coloured band that represents the overall fire risk at the time of the survey — Very Low (dark green) through to Critical (dark red).
2Then click the band that represents the projected risk once all actions are completed.
3In the Sign-Off section, enter the assessor name, credential (e.g. AIFireE) and the date.
4To add a Signature, click "Upload signature image" and choose your saved signature image. This will appear at the bottom of the report.

TIP Remembered Answers
Almost every text field remembers what you have typed before. After you type something and click away, it is saved automatically.
Next time you are in the same type of field, click the small ▾ arrow on the right of the field to see all your previous answers. Click any answer to insert it instantly.
To delete a saved answer you no longer need, click the × next to it in the dropdown list. You can scroll through the list if there are many answers.
Remembered answers are shared across all your reports, so common phrases like action descriptions, target date wording and location names only need to be typed once.

FINAL STEP Creating the PDF Report
1Click Preview in the top bar to see the full finished report. Check all sections look correct. Click Edit to go back and make any changes.
2When you are happy, click Print / Save PDF. Your browser's print window will open.
3In the print window, set the Destination to "Save as PDF" (not a physical printer). Click Save, choose where to save the file, and you are done.
Chrome / Edge: "Save as PDF" appears in the Destination dropdown. Firefox: Click "Print to File" or change Printer to "Microsoft Print to PDF". Mac: click the PDF button in the bottom-left corner of the print dialog.
